Since these are hard plastic, it may be a little difficult to install/remove. It is okay to leave the cable covers on the cable, but please be very careful moving the MML's with the cable covers attached. The damage is extensive and I was having difficulty targeting the users and it also reinforced another very important issue about rounds, openings and closings. It's essential that rooms are checked on rounds; that is, if a room has been empty and the event is almost over, lock it up and start filling in a "no show" form (if you don't know where this is, it's in the cabinets next to Di's desk). Closing and locking a room may prevent unauthorized usage. Is this a big deal? If the President was using 312 scheduled from 8-4 but left early at noon and an unauthorized person used the room and created those scratches on the tables. Is this fair to charge the President for something he didn't do? I look at this as our responsibility to make sure we keep the operations of our building as a big priority. Opening a room is far more important than almost any task we ask of you. A good example is on a manager report where a round can't be executed because they're busy setting up a room for that night. This is a prime example of them doing what's most important "now". So, yes, it is a big deal and a big part of our jobs. Especially with Spring upon everyone, we need to focus until we finish and summer will be here before we know it! For the most part, everyone does do the closing and rounds, but our consistency for our entire staff can be better especially considering the varying amounts of experience our staff possess. It is something special to be part of a crew like this, but we also need to work together to finish together. Make sure that all windows and doors are securely closed and locked when closing the building. This also includes checking all the third floor conference rooms, even if having to open the curtains to double check to make sure the windows are closed and locked. Please trash the Daily Activity sheet when you're finished with your sheet (the sheets from the book with the room times). Please take some time to read over the round sheet, previous night's manager report, the last end of shift report and any notes. Also, managers, please put the rest of the sheets (opening report, round sheet, end of shift report, notes, etc) into my mailbox. BA's will usually try to leave a message on the end of shift report and also on the round sheet if there's pertinent information that needs to be conveyed. 2. 225 coatroom. I've noticed the coatroom is a little disorganized and can be frustrating trying to move tables or AV out of the room. Please make sure the paper boxes are stacked in the corner and any other boxes (course selection) are moved to the top shelf. This will make ensure the oak tables can fit into the space (two stacks of three) and the TV carts. The silver dolly should be located in 157 to facilitate newspaper delivery every morning. 3. Another notes about the paper for the computer lab, please refill the cabinets if they are running low or ask the info center assistant to help-they are trained in this also. Then, update the inventory sheet next to the typewriter in the computer lab. Finally, please let Lori know how many boxes/reams are left in the closet by telling her, sending her an email if it's after hours or making a note on a round sheet for someone to let her know. 4. Newspaper rack. Lori has a new newspaper rack out by the north entrance. The additional parts/hardware (extra shelf and sign holders) are in the bottom drawer of the green cabinet in 225. 5. In the conference rooms, we can close the drapes to keep the sun from baking the room. This is just a temporary procedure until the Air Conditioning is turned on by facilities until the university switches over to the AC systems around May 15th. The AC system and the Heating system (also known as HVAC for both heating/cooling), is a involved process to switch from heating to cooling and for other reasons (seasonal). So, we can put fans (behind 183) in rooms and please leave the fans in 250 in the room. With the heat, it also dries out the mulch around the building. During rounds, please do an outside round to check on the mulch. If it is smoldering, grab a bucket of water from a custodian and pour it around the smoldering area. Please take care by trying to spread the water around the area, not just the smoldering spot. It's probably safe to put water above the smoldering area and working down. Also, part of protocol would be calling public safety (34002) after the mulch area has been contained. Please be present when the officer arrives, or relay the message to the next BA or manager.
