Please keep in mind the scenarios with severe weather affecting the opening/closing of the building. Mike Demetor is the only person authorized to close the building early or open it late. The phone chain must be current, so please make sure your phone numbers are correct (and have your supervisor's #). If they aren't please notify your supervisor ASAP. If severe weather is forecast, please meet with your supervisor to plan on proper situational procedures (e.g. just in case procedures). This could include using the override key the night during closing, or having someone else come in because of a long commute to open the building, etc. Other procedures when arriving during a severe weather period includes contacting customers about room usage, updating AxisTV's messages, posting information by doors, calling facilities/public safety if needed and communicating with the next staff members to get them up to speed (including info staff). Remember, even if classes are cancelled, it is very likely the building may be open and everyone would be required to work their normal shift. Further discussion on Severe Weather will take place in meetings. KU Radio Station information. Good morning, beginning January 30th KUR Radio will be extending their week day hours to 6am to 1am. Please let your staff know that their will be a student in the radio station in the mornings before the building is open and at night after we close. If they have a question please remind them to look up access privileges in the binder at the front desk. It will show which students have earlier morning and late night access. The radio station members should only be using the Alumni Auditorium entrance and be in their respective area. Table Storage Information. Tables are stored in a few locations: 183 coatroom, 218 closet, 250 closet, 223 closet, 225 coatroom and 157 Storage. Currently, tables are marked with blue, yellow or orange tape on 8' Mitylite tables. Orange 8' tables belong to room 250, yellow orange tape belong to 183 closet and blue/no tape belong to 218, MPR. The blue taped tables signify good condition 8' tables while tables with no label signify acceptable conditioned tables. Also, please continue to wipe down the tables after use with the cleaning solution and rag in 218 table closet. Feel free to ask custodial staff for refills or new rags. New Tables for 250. New folding 6' tables (similar to the tables for 223) will be arriving for room 250. I would like to test the setup and storage for these tables before we put them into use when they arrive. I will let everyone know when and how they will be used. I would like to label/inventory the tables. AV Upgrade in 183 Alumni Auditorium. As we get closer to the completion of the Alumni Auditorium AV upgrade project, many AV related items will change. We are adding a MML down to 183 with the inputs/outputs in a plate behind the curtain and also utilizing the AMX touch panel to control everything. The touch panel will need some training from out staff to our customers. We will be putting more control in our customer's hands, literally. We must keep the 183 MML secured and the appropriate procedures will be supplied for it. I will let everyone know when it's online and provide the training for its use. In the meantime, I've instructed the installers that the system must maintain its usability how everyone currently knows how to use it. In the meantime, please keep the room locked until the installers ask for it to be opened Info Center Ticketing Computer. I've added a shortcut to anyone that logs onto the ticketing computer to access the Room Schedule Signage. It will be on a folder on the desktop to print fill and print out room signs. If someone doesn't have access, they will not be able to open the folder and will need to contact Lori or myself. We will be using the 183 MML similarly to the 218 MML. When I create the barcode for it, it will need to be signed out/in (yes, it will have a home on the clipboard). We also must secure the MML by locking it up and unlocking prior to events. Storage. Store the 183 MML in the production room. There is a way to move the MML so, if you were not trained, please see me or a manager. It's important to be pushing the MML up the ramp and being at the bottom of the MML when going down the ramp. The cables are labeled and please remember the order of plugging in the items (to plug in, go left to right; to unplug go right to left). Finally, the touchpanel is stored under the VPU rack plugged in. More procedures will be available soon that will set a guideline how to use the MML. Security Update The main door by the card swipe has been worked on by facilities and one card. Please let us know if it gives anyone any troubles during closing or opening. Carpet To pass the news from Diane. Good News! The Formal Dining Room carpet will be replaced on Monday, March 13th. I think these are tile carpet, so they should wear better (no carpet tears) and easy to replace. Tables New tables will be arriving for room 250 on Wednesday 2/15/2006. They will be delivered to room 218 alcove for assembly. I will try to get them assembled that same day and trial fit them in 250. I will let everyone know about when to start the usage but with any luck, we can start use later that day. I'll work with Diane to make sure everything is in order with our events. Our table inventory allocation will change with these additions. All sheets will be updated. CPU lab I will be installing CPU locks for the keyboards and the mice in the computer lab Friday/Monday. The computer that is out of order (no login) has a call ticket entered to IT. Microphones We currently do not have any wireless handheld microphones to sign out. Room 183, 223 and 250 have cordless mics that can be used built into the room. If one is needed, please use a corded mic with a long mic cable. One has been ordered and both have been sent back for repair. :-) Thanh Pham Student Union and Commuter Services Kutztown University of Pennsylvania 274 McFarland Student Union http://msu.kutztown.edu ph. 610.683.4866 fx. 610.683.4723 -------------- next part -------------- An HTML attachment was scrubbed... They are going to be delivered to 218 MPR and I will assemble them that day and testing them out. To accommodate the new tables, we will be removing the cherry tables out of room 250 and will be stored in the alcove of 218 (they will be moved at a later date to a new storage location). The new tables (similar to 223's tables, but a little longer with different color) will be stored in 250. A few 8' tables most likely will still be stored (3 tables) to facilitate food services but there should be more storage/room for chairs in 250 storage Podiums. To be consistent with our podium in 223, please store the podium for 250 in the actual room. If necessary, please store the podium in the corner of the room (in the back) to be out of an audience's sight line. The podium for 223 is stored facing the West wall between the curtains. It's very important to check to make sure the correct orientation on the plug before inserting it. For now, until some parts can be ordered to avoid this hazard, I have used an extension VGA cable on the 218 MML. Please be aware of its presence and be conscious when plugging things in. I know it sounds trivial, but it really does affect our ability to serve our customers. This occurred sometime Wed-Thursday. If there is an event in the MPR, you can use the 225 coatroom as a temporary storage location. It is vital the location and existence of the table is communicated to the following staff (round sheet/end of shift report/manager report). Putting these tables away will help in a few areas including: building image (you know that's a big one :-) ), safety because custodial has to push them into the hallway when they clean, prevention of further damage to the wooden benches. In regards to the benches, I will be installing adhesive felt to prevent damage from them smacking the wall soon. What will need to be maintained will be the orientation of the felt always facing the wall. The felt is tan so it won't stick out too bad. We received some new chairs for the computer lab. They are pretty much identical to the existing chairs exist the back/plastic is slightly different! The second important operational note that will be reviewed is the spacing and organization of the furniture in the Bear's Den and other lobbies to be compliant with ADA standards on rounds and opening/closing times. Thanks everyone and keep making the building look beautiful! When the stage needs to be cleared (Sunshine players, dance rehearsals, etc) please move the MML into the green room unless it's being used/requested for usage. In that event, please store this in the storage area behind the stage and please take caution when moving the MML to prevent it from scratches/wear/rub marks. Please, just take it slow with the MML. We'll keep it plugged into the system with the snake tape down. There will be an appropriate tunnel cover purchased to hide the snake a little better. Mics We received our microphones and you can anticipate using the wireless mics to be back in circulation within the next few days.
